Position Overview
Adams & Martin Group has partnered with a well-established, full-service law firm seeking a dedicated Legal Billing Specialist for their Los Angeles office. This role requires a candidate with expertise in e-billing and appeals. It is a full-time, on-site, hourly position, with work hours from 8:30 a.m. to 5:00 p.m., Monday through Friday.
Core Responsibilities
- Process time entries and billing for hourly, flat-fee, and contingency matters.
- Distinguish between billable and non-billable time.
- Prepare prebills and final invoices.
- Handle billing adjustments, write-offs, and narrative review.
- Ensure rate accuracy and compliance with billing rules.
- Identify and resolve time entry errors.
- Reconcile billing discrepancies.
- Apply client payments and support basic AR functions.
- Understand trust accounting fundamentals (IOLTA familiarity a plus).
- Manage month-end billing cycles and work with general ledger summaries.
- Administer and maintain e-billing systems and platforms (e.g., CounselLink, Legal Tracker, Serengeti).
- Maintain timekeeper status, rates, budgets, and user profiles.
- Submit and track appeals and enter new matters and timekeeper rates for assigned clients.
- Review Outside Counsel Guidelines and update billing systems to ensure compliance.
- Follow strict client billing protocols.
Qualifications
- 3+ years of legal billing experience.
- Advanced knowledge of Excel and MS Office.
- Strong understanding of legal billing rules, including e-billing requirements and client-specific guidelines.
- Exceptional attention to detail, accuracy, and organizational skills.
- Clear and professional communication abilities.
- Hands-on experience with Aderant or equivalent billing platforms (e.g., Elite 3E).
- Direct experience with e-billing submissions, appeals, and tracking.
- Ability to collaborate closely with the Director of Finance and work within a team-oriented billing and collections department.
Software Experience
- Proficiency in Aderant/Sierra.
- Experience with Elite Enterprise, Elite ProLaw, or comparable legal billing systems.
Communication Skills
- Work directly with billing team members, attorneys, and legal assistants.
- Clearly explain billing-related issues to non-billing staff.
- Handle confidential client and financial information with discretion.
Additional Preferred Experience
- Degree in Finance or Accounting (or equivalent experience).
- Experience in multi-office or larger firm billing environments.
- Comfort with high-volume billing (hundreds of bills per cycle).
- Collections support or client follow-up.
- Advanced Excel capabilities (pivot tables, VLOOKUP/XLOOKUP).
